Ripon City Photographic Society (RCPS) is established with the objects set out in its Constitution, to serve the interests of its members.
RCPS is a data controller in the UK.
The personal information referred to in this Policy may include name, distinctions, contact details, records of entries to competitions and events and such other information as may be necessary for the effective management of the legitimate interests of the Society.
Any person wishing to verify the information held by RCPS, or who can correct or update that information, may apply to the Secretary.
RCPS collects and uses personal information for several purposes:
- The RCPS Annual programme Booklet
The RCPS Annual Programme Booklet includes contact information about the members of its Committee;
The Programme Booklet is given to members upon subscription to RCPS each year;
The Programme Booklet is provided to those advertising within it, but only as a business record;
The Programme Booklet is available for visitors to the Society’s Annual Exhibition as a promotional tool;
The contact details of RCPS Committee Members allocated to provide particular services may be published generally.
- RCPS Events
Photographers, as the creators of images, enter events under the auspices of RCPS, YPU, PAGB, RPS and other organisations, both nationally and internationally;
This information is held and managed subject to data protection requirements.
- General Business
RCPS may hold personal information for anyone contacting the Society, or whom the Society contacts for the purpose of conducting its general business;
This business is used to satisfy a requested service or a contractual requirement.
- Data Retention
General business records will normally be held for a minimum of two years;
RCPS may retain historical archives indefinitely, for example but not limited to: records of meetings, programmes, catalogues, awards and other event results.
Note: In all of the above regards, copyright of images shall remain with the author unless determined otherwise with the author’s full agreement.
